Box Office Coordinator (Seasonal)

 

Rooftop Films has grown tremendously over the last few years, and we are looking for a Box Office Coordinator to take a crucial role in the production of the Summer Series. The Rooftop Films Summer Series runs every weekend, May – August, presenting 50 shows at over 19 different outdoor locations in NYC.

This is a flexible, creative position, employing a variety of skills. The position is full-time, working both in the office and on-site at our Summer Series shows on Thursdays, Fridays, Saturdays and some additional weeknights. The contract period is from May through end of August.

Under the supervision of the Operations Manager, the Box Office Coordinator will be responsible for overseeing online ticket sales, managing guest lists and ensuring smooth execution of the box office and line management on site at events, as well as supporting the Venue Manager in general event preparation and execution as needed. Rooftop screens in multiple locations that require unique event management systems and procedures; since there are many venues, each with their own particulars, certain basics change from venue to venue.

We are looking for someone creative, energetic, forward thinking, and committed. Strong organizational, communication, and customer service skills are a must, and previous box office and theater/house management experience is preferred. It is imperative that the person in this position be able to multi-task, manage time and people, be able to work collaboratively with internal staff and external constituencies at all levels.  He or she must possess solid writing and verbal communication skills, as well as the ability to think of new ways to impact our events and streamline processes.

 
Responsibilities:

Ensure smooth execution of box office and audience load in.

• Manage set-up and supervise staffing of Box Office areas.
• Oversee crowd flow and line management.
• Oversee Box Office Assistant Venue Managers and line management volunteers.
• Oversee check in of VIP guest list, members, and ticket buyers.
• Work with Venu Manager and Assistant Venue Managers to manage on site sales and stand-by lines.
• Hospitality (talent, sponsors, VIP guest list, Rooftop Films members, etc.).
• Assist the Venue Manager with other aspects of event execution as needed.

Event preparation and office work.

• Track and report to event and senior staff, ticket sales, and event attendance numbers on a daily basis.
• Assist Operations Manager in maintaining membership database and ongoing membership communications.
• Create and manage VIP and special event invitations.
• Attend weekly department meetings.
• Alongside the Festival Assistant, support the Venue Manager(s) in prepping and packing show materials, creating signage, and other logistics as needed.
• Summer Series "wrap-up" and paperwork at the end of the summer.

Qualifications:

• Minimum 2 years event production, house management, venue operations management, and/or film festival experience
• Possess flexibility, strong organizational, customer service, project management, writing and verbal communication skills.
• Be culturally engaged. A familiarity with, and interest in independent film is a plus.
• An understanding and dedication to our mission.
• Ability to thrive in a small team environment, to take responsibility and to meet tight deadlines.
• Ability to work collaboratively with internal staff and external constituencies at all levels.
• Basic computer skills required, included spreadsheets and database; familiarity with Adobe Creative and online ticketing platforms is a plus.
• Ability to work flexible hours as required, including evenings and weekends.

Venue Manager (Seasonal)

 

Rooftop Films has grown tremendously over the last few years, and we are looking for a Venue Manager to take a crucial role in the production of the Summer Series. The Rooftop Films Summer Series runs every weekend, May – August, presenting 45 shows at over 19 different outdoor locations in NYC.

This is a flexible, creative position, employing a variety of skills. The position is full-time, working one or two days in the office and on-site management of our Summer Series shows on Fridays, Saturdays and some weeknights. The contract period is from May through end of August.

Rooftop screens in multiple locations that require us to load-in and load-out each night. Since there are many venues, each with their own particulars, certain basics change from venue to venue. The position is unique in that it requires the Venue Manager to utilize a variety of skills including location management, theater house management, and operations management of venues; all combined with the general needs of a Summer Series into one.

We are looking for someone creative, energetic, forward thinking, and committed with exceptional organizational skills and a dedication to Rooftop Films mission. Strong managerial and leadership skills are a must, as this potion will oversee on-site show staff and volunteers. It is imperative that the person in this position be able to multi-task, manage time and people, be able to work collaboratively with internal staff and external constituencies at all levels and have strong customer service skills. He or she must possess solid writing and verbal communication skills, as well as the ability to think of new ways to impact our events and streamline processes.

 
Responsibilities:

Pre-Season Event Planning (Part-Time): In collaboration with Artistic Director and Operations Manager, the Venue Manager will assist with:

• Securing screening and after-party.
• Venue and event permitting and contracts (D.O.B., Parks Dept., Catering, etc.).
• Coordinate sponsor deliverables and product deliveries.
• Coordinate purchasing of FOH show supplies and materials.
• Attend site visits at new and existing Summer Series venues.

On-Site Event Management: Manage and lead event support staff and volunteers:

• Set-up and manage box office/ticketing.
• Supervise load in and load out.
• Supervise chair set-up, tables and tents for Rooftop Films, sponsors, etc.
• Manage set-up and supervise staffing of Rooftop Films information and merch tables.
• Oversee crowd flow, ushering, audience relations.
• Liaison with venue and their staff.
• Hospitality (talent, sponsors, etc.).

In-Office Event Planning: In collaboration with the Operations Manager, other Venue Managers, and other office FOH staff, the Venue Manager will be responsible for the following in relation t oevents they are scheduled to manage:

• Assist with securing venue and event permitting (D.O.B., Parks Dept., Catering, etc.).
• Communicate with other FOH staff to assist with prepping and packaging show materials, creating signage, and other logistics as needed.
• Attend weekly department meetings prior to all shows they will be supervising.
• Liaison with venues in advance of screenings regarding arrival, rain plans, and other contingencies.
• Create individual event information sheets for all events the Venue Manager is supervising (to be approved by the Operations Manager, Festival Assistant, and Technical department).
• Summer Series "wrap-up" and paperwork at the end of the summer.

Rooftop Films is seeking interns for Summer 2017. Founded in 1997, Rooftop Films is an innovative grassroots non-profit film festival based in Brooklyn, NY. Rooftop has grown to become one of NYC’s leading film organizations serving over 48,000 audience members. Our mission is to engage and inspire diverse communities by showing movies in outdoor locations, producing new films, and renting equipment and producing events at low-cost to artists, non-profits and community groups.

A great opportunity for film, arts administration and nonprofit management students as well as young filmmakers: learn how a non-profit film festival works and see hundreds of great movies. We welcome students finishing their 1st year of college (or age equivalent) or above and all graduate students.

Internships are not paid, but can be done for school credit. Find out your school’s internship or field work credit requirements and we will work with you to accommodate them. Our offices are on the border of Park Slope and Gowanus, near the R, F and G trains in Brooklyn, so please apply only if you will be able to handle that commute.

 

Festival Internship 

Help with all aspects of planning and managing a non-profit film festival.

 
Internship Tasks Include:

Festival Marketing and Publicity

• Marketing, research, promotions and community outreach.
• Research content for and help maintain social media for the 2017 Summer Series.
• Monitor film/entertainment sites for relevant social media/outreach content.
• Research and help liaison with partner organizations for outreach around screenings.
• Strategically research and contact press outlets.
• Coordinate and implement distribution of promotional materials in targeted communities.

Pre-Production and On-site Event Coordination

• Help organize film screenings (including in office prep and production).
• Assist with box office and merchandise sales.
• Help coordinate volunteers.
• Pre-screen programs of films.
• Organize and maintain film databases.
• Contacting, corresponding and hosting filmmakers.
• Audio and video tech work.
• Fundraising and development.
• General office and festival work.
• Anything else you might be interested in — we want you to see how we work.

Candidates should have good experience working with Microsoft Office (particularly Excel) and experience with Filemaker, HTML, design programs or video editing software is a plus.

Festival Internship candidates would be expected to average at least two days a week in the office and one evening show per week, but generally the more time you can commit the better.

Video Production Internship 

Assist with the editing of show content and other video related tasks.

 
Internship Tasks Include:

• Shooting Q+A’s, musical performances and interviews at screenings.
• Editing short videos for the web.
• Assisting with filmmaker relations, correspondence & print traffic (coordination of film master delivery).
• Organizeing Rooftop Films' media library.
• General office and festival work.

Qualified Candidates Should Have:

• Editing experience with Final Cut Pro and Photoshop.
• Comfort in capturing/ripping/converting footage (from DVD, Bluray, mini dv and various HD formats).
• Interest in and eagerness to learn the technical aspects of video and graphic design.
• Proficiency with Macs and Quicktime video codecs.
• Media management skills/ability to track and organize high volume workflow.
• Knowledge of DVD authoring (DVD Studio Pro / iDVD) is a plus.

Video Production Internship candidates would be expected to average at least two days a week in the office and one evening show per week, but generally the more time you can commit the better.

As a non-profit arts organization, Rooftop Films depends on volunteers like you for its growth and success. Working with Rooftop is a great opportunity to see fantastic films and live music, find out about the inner workings of film festivals, and meet the Rooftop staff and the filmmakers. 

Rooftop will need volunteers for over 40 shows summer 2017, all of which will be outdoors between May and August. Most shows are on Friday or Saturday nights, with some special shows on Wednesdays and Thursdays. Volunteers can help out at as many or as few shows as they are available for.
