Rooftop Films has grown tremendously over the last few years, and we are looking for an Events Manager to take a crucial role in the production of the festival. The Rooftop Films Summer Series runs every weekend, May – August, presenting 45 shows at over 19 different outdoor locations in NYC.

This is a flexible, creative position, employing a variety of skills. The position is full-time, working one or two days in the office and working on-site managing our Summer Series shows on Fridays, Saturdays and some weeknights. The contract period is from April (pre-production) through end of August.

Rooftop screens in multiple locations that require us to load-in and load-out each night. Since there are many venues, each with their own particulars, certain basics change from venue to venue. The position is unique in that it requires the Events Manager to utilize a variety of skills including location management, theater house management, and operations management of venues; all combined with the general needs of a film festival into one.

We are looking for someone creative, energetic, forward thinking, and committed with exceptional organizational skills and a dedication to Rooftop Films mission. Strong managerial and leadership skills are a must, as this potion will oversee on-site show staff and volunteers. It is imperative that the person in this position be able to multi-task, manage time and people, be able to work collaboratively with internal staff and external constituencies at all levels and have strong customer service skills. He or she must possess solid writing and verbal communication skills, as well as the ability to think of new ways to impact our events and streamline processes.


Responsibilities
• Meticulous on-site execution of events:
        – Set-up and manage box office/ticketing.
        – Supervise load in and load out.
        – Supervise chair set-up, tables and tents for Rooftop Films, sponsors, etc.
        – Oversee crowd flow, ushering, audience relations.
        – Manage set-up and supervise staffing of Rooftop Films information and merch tables.
        – Liaison with venue and their staff.
        – Hospitality (talent, sponsors, etc.).
        – Manage and lead event support staff and volunteers.
• Secure venue and event permitting (D.O.B, Parks Dept., Catering, etc.).
• Develop production schedules, show flows and production timelines.
• Hire and supervise on-site event support staff.
• Work closely with technical staff in office and on-site.
• Financial management: track and manage ticket sales and show related expenditures.
• Supervise support staff in relation to prepping and packing show materials, creating signage and other logistics as needed.
• Volunteer coordination: maintain communications with volunteers through online software including changes to schedule, assignments, opportunities, etc.
• Summer Series “wrap-up” and paperwork at the end of the summer.
•Oversee, manage, mentor and evaluate interns regarding venue management tasks – volunteers, supplies, lists, etc.

Qualifications
• Minimum 3 years event production, house management, venue operations management and/or film festival experience.
• Possess flexibility, strong organizational, project management, writing and verbal communication skills.
• Be culturally engaged. A familiarity with and interest in independent film is a plus.
• An understanding and dedication to our mission.
• Ability to thrive in a small team environment, to take responsibility and to meet tight deadlines.
• Ability to work collaboratively with internal staff and external constituencies at all levels.
• Supervisory/training experience preferred.
• Basic computer skills required, including spreadsheets and databases; familiarity with Adobe Creative a plus.
• Understanding of and experience securing permits a plus.

Rooftop FilmsMarketing Manager (Seasonal)
Rooftop Films seeks an exceptional Marketing Manager and writer to manage marketing, communications and outreach efforts for the organization under the supervision of the Managing Director. This is a seasonal position (April — end of August).

This is a flexible, creative position, employing a variety of skills; an opportunity for someone who is excited by a small arts non-profit environment, sharp, ambitious, creative, and possesses an understanding of current marketing trends and theories. With over 45 shows to promote during the Summer Series the candidate must possess strong project management and organizational skills as well as the ability to delegate and manage interns. We seek candidates who are clever, curious and have a great sense of humor; who can capture and communicate the innovative, creative and exciting atmosphere of Rooftop Films and the work we do.

Responsibilites
General Tasks
• Promote Rooftop Films as a whole and each individual screening and event.
• Consult regularly with staff members to understand programs and services.
• Manage and create content for social networking sites, Rooftop Films blog and website.
• Draft and edit effective and innovative communications materials including mass e-mails to mailing list, internal documents, emails, press releases, media alerts and other marketing and communication materials as required.
• Responsible for updating event photo/video archives each week and distribution of content to public, press, etc.
• Manage distribution of Summer Series flyers, postcards and posters by street team.

Relationship Management
• Liaison to filmmakers and distributers regarding promotion of their films screening at Rooftop.
• Point of contact with press and liaison to Rooftop’s Public Relations consultant.
• Identify and manage relationships with key press, critics and promotional partners.
• Oversee sponsorship/funder recognition in appropriate marketing materials.

Research and Analysis
• Research and update media contacts and grassroots outreach opportunities.
• Assist with market research (surveys, etc.); analyze and report the data.
• Maintain a historical record of marketing collateral, publications and press mentions.
• Follow and report on industry and arts marketing trends and innovations.

Other
• Oversee, manage, mentor and evaluate interns regarding marketing/outreach tasks.
• Use HTML to author and update web content and mass emails.
• Participate in preparation for shows as needed (compiling press lists, etc.).
• Assist with promotion for fundraising campaigns and events.
• Work with alumni filmmakers to promote theatrical/DVD/other artistic initiatives.

Qualifications
• Minimum 3 years marketing experience.
• Possess flexibility, strong organizational, project management, writing, proofreading and verbal communication skills.
• Be culturally engaged. A familiarity with and interest in independent film is a plus.
• Knowledge of current and evolving trends in marketing, communications and social media.
• An understanding and dedication to our mission.
• Demonstrated work experience in traditional and grass-roots marketing as well as community outreach.
• Ability to thrive in a small team environment, to take responsibility and to meet tight deadlines.
• Knowledge of market research techniques and data collection/analysis a plus.
• Supervisory/training experience preferred.
• Strong computer skills required, including HTML editing skills, internet research skills, spreadsheets, and databases; familiarity with Adobe Creative a plus.
• Ability to work flexible hours as required, including some evenings and weekends.
